Board Member Descriptions

Our Intergroup (IG) Board members are trusted servants who provide critical functions that support our outreach, meetings, representation to service bodies, and other activities of the IG. They are not leaders or bosses, but are guides who follow our Bylaws, Policies and Procedures and the Intergroup Group Conscience. Each persons is only expected to provide service to the level of their abilities and their time.

Requirements:
To qualify for election to the IG Board, an individual must: be working the Twelve Steps, Twelve Traditions and Twelve Concepts of OA Service to the best of his/her ability; have not less than one year in the Fellowship; at least three months experience giving service at the IG level; have at least three months of current continuous abstinence (Each person shall be the sole judge of his/her abstinence.) and be a regular member of an OA group affiliated with GAOAIG. Note that the IG may vote, at its discretion, to waive some requirements.

Term:
The term of each position is one year. An individual may be reelected to serve for a total not to exceed three years.

Meetings:

Board members meet once a month for about an hour to discuss any open matters and set the agenda for the next IG meeting. This meeting date/time is flexible but is currently the last Saturday of the month at 12:15

The Intergroup meeting is the 2nd Saturday of the month from 10:30 -noon and Board members should attend if possible.

CO-CHAIRS
Co-Chairs supervise and guide the affairs of the IG with emphasis on Higher Power as the Ultimate Authority. They are responsible for the overall unity and group conscience of the IG.

  • One Co-Chair presides over our IG meetings using our IG Standing Rules and Roberts Rules of Order, to the best of their abilities. The second Co-Chair is a backup when the first is unavailable, or they may choose to alternate duties.
  • At least one co-chair is a signatory on the IG bank account.
  • Co-Chairs maintain our P&P Manual and Bylaws, in consultation and coordination with other Board members.
  • Both Co-Chairs are prioritized to serve as representatives to Region 8 Assemblies and/or Delegates to WSBC, when possible.
  • The outgoing Co-Chair remains active as a Board advisor for six (6) months.

Co-Chair 1 also…

  • Sets Board meeting agendas and leads or coordinates leadership of the monthly Board meetings.
  • Signs and submits final tax forms and updates corporate registration documents.
  • Prepares certificates for Region 8 and acts as liaison with the Region.

Co-Chair 2 also…

  • Checks the bank accounts and PayPal accounts quarterly to ensure they balance with Treasurer reports.
  • Answers the IG phone line or forwards same line to personal number to receive calls.

SECRETARY

  • Assumes all responsibilities of the Co-Chair if both are absent.  
  • Takes Minutes at Intergroup meetings (or gets substitute) and writes up draft minutes for review by the Board.
  • Attends Board meeting and compiles Agenda for upcoming IG meeting.
  • Uploads Agenda and Approved Minutes and makes them available for viewing in the Webdocs public folder. 
  • Emails IG Meeting Zoom invitation to IG distribution list, along with previous month’s unapproved minutes and the Agenda for the upcoming meeting.
  • Maintains an Intergroup Service Position Roster (position, first name, phone number, email address) 
  • Monitors and responds to Secretary email.
  • Maintains various email distribution groups
  • Maintains Board Secretary Google docs folder
  • Is available for three months to mentor the new Secretary at the end of the term.

TREASURER

  • Manages banking, ensuring that Treasurer, Co-Chair and/or Secretary are signatories and have access to accounts. Each month, checks all transfers and deposits against bank account to ensure it tallies.
  • Disperses funds as approved within the budget or as approved by the IG Board. Reviews and approves payment reimbursement requests for completeness, accuracy and validity. If accumulated expenses exceed budget, notifies committee chair(s) that they must get IG approval. 
  • Prepares and presents expense and income reports at monthly IG meeting and is prepared to answer questions.
  • Prepares an annual budget in October for the coming year, to be reviewed, revised and approved by the GAOAIG Board and then the IG.
  • Submits End of Year taxesto outside accountants. 
  • Maintains Board Treasurer Google docs folder
  • Is available for three months to mentor the new Treasurer at the end of term.
